Privacy Policy

Protiq AI ("we," "us," or "our") provides software-as-a-service (SaaS) tools for gym owners and fitness professionals. This Privacy Policy explains what data we collect, how we use it, and your rights regarding that data.

1. Who This Policy Covers

This Policy applies to:

Gym owners and trainers who sign up for and use the Protiq AI platform.
Members and leads whose data gym owners enter into Protiq AI to manage their business.
Website visitors who use protiqai.com.

2. Information We Collect

We collect the following categories of information:

Account information

Name, email address, password (encrypted), phone number, business name.

Member and lead information (entered by gym owners)

Names, contact info, membership status, check-in history, session counts, payment records, waiver signatures, and any notes added by the gym.

Payment information

We use Stripe for all payment processing. We do NOT store full credit card numbers on our servers. Stripe handles all card data per PCI-DSS standards.

Usage data

IP addresses, browser type, pages visited, actions taken in the app. Used for security, debugging, and product improvement.

Communications data

Records of SMS messages sent through our platform (for compliance and delivery purposes) and email send logs.

3. How We Use Your Information

To provide and operate the Protiq AI service.
To process payments and manage your subscription.
To send service-related communications (account updates, payment confirmations, security alerts).
To send marketing communications, only if you have opted in. You can opt out at any time.
To improve and develop new features.
To detect and prevent fraud, abuse, and security incidents.
To comply with legal obligations.

4. Sharing Your Information

We do NOT sell your personal information. We share data only in the following limited circumstances:

Service providers: Stripe (payments), Twilio (SMS), Supabase (database hosting), Vercel (web hosting), Anthropic (AI features). These providers only access data needed to perform their function.
Gym owners: If you are a member or lead, your data is shared with the gym that entered it. They are the data controller.
Legal requirements: If required by law, subpoena, or to protect rights and safety.
Business transfers: If Protiq AI is acquired or merged, your data may transfer to the new entity (with notice).

5. SMS & Email Communications

SMS/Text Messaging: By providing your mobile number and opting in, you consent to receive text messages from Protiq AI and the gym or fitness business you are associated with. Message types include appointment and class reminders, booking and waitlist notifications, check-in and confirmation messages, account and payment alerts, and promotional or informational messages.

Frequency: Message frequency varies.

Opt-out & Help: You can opt out at any time by replying STOP to any message. Reply HELP for help. Message and data rates may apply.

Your consent data is protected: Mobile opt-in and consent information (your agreement to receive text messages) will never be shared or sold to third parties or affiliates for marketing or promotional purposes. This information is used solely to deliver the messages you have requested. No mobile opt-in data is shared with any third parties for their own marketing.

Email: Marketing emails include an unsubscribe link in the footer. Clicking it immediately removes you from non-essential email lists. Transactional emails (receipts, security alerts) will continue.

6. Data Retention

We retain account data while your account is active and for up to 90 days after deletion to handle disputes, legal compliance, and backup recovery. Payment records may be retained longer to satisfy tax and accounting laws.

7. Your Rights

Depending on your jurisdiction, you may have the right to:

Access the personal data we hold about you.
Request correction of inaccurate data.
Request deletion of your data ("right to be forgotten").
Object to or restrict certain processing.
Receive a copy of your data in a portable format.
Opt out of marketing communications.

8. Data Security

We implement industry-standard security practices including:

HTTPS/TLS encryption for all data in transit.
Encrypted password storage.
Row-level security (RLS) on our database.
Webhook signature verification for payment events.
Rate limiting on public endpoints to prevent abuse.

No system is 100% secure. If we discover a data breach affecting your information, we will notify you per applicable law.

9. Children's Privacy

Protiq AI is not directed at children under 13. If a parent enrolls a minor as a gym member, the parent provides consent on the minor's behalf. We do not knowingly collect data from children under 13 without parental consent.

10. International Users

Protiq AI is hosted in the United States. By using the service, you consent to your data being processed in the U.S., which may have different data protection laws than your country.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated date at the top of this page. Material changes will be communicated via email or in-app notice.

12. Facebook, Instagram & Meta Data

Protiq AI integrates with Meta Platforms, Inc. ("Meta") services including Facebook and Instagram to provide social media analytics and lead capture functionality for gym owners and trainers.

Data We Access from Meta

When you connect your Facebook Page or Instagram Business account to Protiq AI, we access the following data through Meta's official APIs:

Instagram account information (follower count, profile details)
Instagram content performance metrics (reach, impressions, engagement, saves, shares)
Instagram audience demographics (age, gender, location, active times)
Instagram Stories, Reels, and post-level analytics
Facebook Page information and engagement metrics
Meta Ad campaign performance data (spend, impressions, clicks, conversions, cost per lead)
Lead form submission data from Meta Lead Ads

How We Use Meta Data

We use data from Meta solely to:

Display your social media analytics within the Protiq AI dashboard
Track lead sources and conversion rates from social media campaigns
Provide performance reporting for your ad campaigns
Store historical analytics data beyond Instagram's native 90-day retention window

We do NOT sell, rent, or share your Meta data with any third parties. We do NOT use your Meta data for advertising, profiling, or any purpose other than displaying analytics to you within your Protiq AI account.

Revoking Access

You can disconnect your Facebook or Instagram account from Protiq AI at any time through your dashboard settings. You can also revoke access directly from your Facebook Settings under Business Integrations. Upon disconnection, we stop accessing new data from your Meta accounts.

Data Deletion

You may request deletion of all Meta-related data we have stored by contacting us at ceasai.solutions@gmail.com or by using the data deletion request process through Facebook. When Meta sends us a data deletion request, we remove all stored Meta data associated with your account and return a confirmation code. You can verify the status of your deletion request at our privacy page.

Data Retention

We retain cached Meta analytics data for as long as your account is active and connected. Upon disconnection or account deletion, cached data is removed within 30 days. Lead data captured from Meta Lead Ads is retained as part of your gym's member database and follows the same retention policy as other member data (see Section 6).
